Terms & Conditions

These Terms & Conditions govern the relationship between UV TRIPS SRL, operating under the brand UltraViolet Travel (“UltraViolet”, “we”, “us” or “our”), and any person who books or purchases a tour, trip or other travel service from us (“Guest”, “you” or “your”).

By making a booking or purchasing a Service through the UltraViolet Travel website, you confirm that you have read and accepted these Terms & Conditions.

1. General Terms

These Terms & Conditions apply to bookings and purchases made through the UltraViolet Travel website, www.uv-travel.com (“Website”), and to the services provided by UV TRIPS SRL.

UV TRIPS SRL is a company registered in Romania under company number J2025052583006, with registered office at 14 Bahluiului St., Apt. 66, Ploiești, Romania, VAT number 52167452.

For the purposes of these Terms & Conditions, “Services” means tours, trips, travel services or combinations of travel services offered by UltraViolet.

The specific information displayed on the Website for a particular Service, including its itinerary, date, duration, meeting point, inclusions, exclusions, price and any applicable restrictions, forms part of the booking agreement applicable to that Service.

Where a separate written agreement or personalized proposal is issued and accepted for a Service, that agreement will apply to the extent that it contains specific terms that differ from these general Terms & Conditions.

Nothing in these Terms & Conditions limits any mandatory rights that you may have under applicable consumer protection legislation.

2. Booking and the Agreement

A booking is considered confirmed when:

  1. the required payment has been successfully received; and
  2. UltraViolet has sent the Guest a written booking confirmation by email.

The booking confirmation, together with the applicable Service description and these Terms & Conditions, constitutes the agreement between the Guest and UltraViolet, unless a separate written agreement applies.

The Guest is responsible for providing accurate contact and booking information, including the correct name, email address, telephone number, number of participants and any other information requested during the booking process.

Any special request, amendment or additional agreement is valid only when confirmed by UltraViolet in writing.

UltraViolet will provide the Guest with the information and documents reasonably necessary for the proper performance of the booked Service.

3. Private / Shared Tours

This section applies to Private or Shared Tours that are offered for booking through the Website at a fixed price and on specified dates.

3.1 Reservation

A Private or Shared Tour is considered booked once the payment has been successfully completed and the Guest has received a booking confirmation email from UltraViolet.

Payment confirmation or a payment receipt alone does not necessarily constitute confirmation of a booking if the booking cannot be accepted for operational or availability reasons. In such circumstances, UltraViolet will contact the Guest and, where applicable, refund any payment received.

The booking confirmation will contain the essential details of the Service, including the date, start time, meeting point and number of participants.

The Guest should carefully check the confirmation and notify UltraViolet as soon as possible if any information is incorrect.

3.2 Payment

The Guest may make a reservation by completing the payment process available on the Website.

Depending on the Service, the following payment methods may be available:

  • online payment by credit or debit card;
  • bank transfer, upon request, where available.

Online payments are processed through NETOPIA Payments, an external payment processor, using appropriate security measures and, where applicable, 3-D Secure authentication.

UltraViolet does not receive or store the full card details used for online payment where the payment is processed directly by NETOPIA Payments.

The payment methods displayed during the booking process determine which cards and payment options are available for the particular transaction.

Unless otherwise stated during the booking process, no additional booking or card-processing fee is charged by UltraViolet to the Guest.

3.3 Changes to a Private / Shared Tour

The Guest may replace one or more participants named in a group booking up to 24 hours before the scheduled start time, provided that the replacement participant satisfies any applicable requirements of the Service.

The Guest should notify UltraViolet of the replacement in writing by email.

Requests to change other booking details, including the date, time, itinerary, number of participants or other material aspects of the Service, are subject to availability and UltraViolet’s approval.

UltraViolet will make reasonable efforts to accommodate such requests but cannot guarantee that they will be accepted.

Any approved modification will be confirmed by UltraViolet in writing.

3.4 Changes to a Service by UltraViolet

UltraViolet may need to make changes to a Service because of circumstances outside its reasonable control, operational requirements, safety considerations, weather conditions, restrictions, changes imposed by third-party suppliers or other unforeseen circumstances.

Where a change is necessary, UltraViolet will inform the Guest as soon as reasonably possible using the contact details provided with the booking.

Where applicable, UltraViolet will offer a reasonable alternative, including a different date, itinerary or equivalent service.

If a significant change or cancellation gives the Guest a right to a refund under applicable law or under these Terms & Conditions, the Guest will be informed of the available options.

4. Cancellation of Private / Shared Tours

4.1 Cancellation by the Guest
The Guest may request cancellation of a booking by sending an email to:

A cancellation request is considered officially received when sent by email to the address above.

The cancellation is considered confirmed only after UltraViolet sends the Guest a written cancellation confirmation.

Other means of communication, including telephone calls, messaging applications or social media, may be used to facilitate communication but do not replace the official written cancellation procedure.

City Tours and One-Day Tours

For City Tours and One-Day Tours, the Guest may cancel the booking at least 24 hours before the scheduled start time and receive a full refund of the amount paid, subject to any mandatory legal provisions that apply to the particular Service.

If the Guest cancels a City Tour or One-Day Tour less than 24 hours before the scheduled start time, the booking is non-refundable, subject to any mandatory legal rights that may apply.

Multi-Day Tours

For Multi-Day Tours, the Guest may cancel the booking at least 72 hours before the scheduled start time and receive a full refund of the amount paid, subject to any mandatory legal provisions that apply to the particular Service.

If the Guest cancels a Multi-Day Tour less than 72 hours before the scheduled start time, the booking is non-refundable, subject to any mandatory legal rights that may apply.

The applicable cancellation deadline is calculated based on the scheduled start time stated in the booking confirmation.

Failure to attend the Service or arriving too late to participate is considered a cancellation by the Guest and is non-refundable unless otherwise agreed in writing or required by applicable law.

4.2 Cancellation by UltraViolet

UltraViolet may cancel a Private or Shared Tour when this is necessary because of circumstances that prevent or materially affect the performance of the Service.

Such circumstances may include, but are not limited to:

  • failure to reach the minimum number of participants required for the Service;
  • government restrictions or other legal restrictions;
  • safety concerns;
  • severe or unsuitable weather conditions;
  • circumstances affecting access to attractions, roads or destinations;
  • the unavailability or failure of essential third-party services;
  • circumstances beyond UltraViolet’s reasonable control; or
  • other unavoidable and extraordinary circumstances.

Where UltraViolet cancels a Service, the Guest will be informed as soon as reasonably possible.

Where appropriate, UltraViolet will offer the Guest an alternative date or equivalent Service.

The Guest may accept the proposed alternative or refuse it.

If the Guest refuses the alternative, or if no suitable alternative is available, UltraViolet will refund the amount paid for the cancelled Service, subject to any mandatory legal provisions applicable to the booking.

Where applicable law requires a different cancellation procedure, notification period or refund arrangement, those legal requirements will prevail.

5. Minimum Group Size

Tours may require a minimum number of participants in order to operate.

If the minimum number of participants is not reached, UltraViolet may cancel the Service in accordance with applicable law and the conditions communicated for that Service.

In such circumstances, UltraViolet will inform affected Guests and, where applicable, offer an alternative date or Service.

If the Guest refuses the alternative or no suitable alternative is available, the amount paid for the cancelled Service will be refunded in accordance with the applicable cancellation rules.

6. Customized Private Tours and Other Travel Services

Private tours, customized trips, concierge services, events and other individually arranged travel services may be booked through an inquiry or direct communication with UltraViolet.

For such Services, UltraViolet may provide the Guest with a personalized proposal containing:

  • the proposed itinerary;
  • date and duration;
  • number of participants;
  • services included and excluded;
  • price;
  • payment terms;
  • cancellation conditions;
  • modification conditions; and
  • any other specific conditions applicable to the booking.

A private or customized Service is confirmed only after the Guest accepts the proposal and completes any required payment or other conditions specified in the proposal.

The specific written agreement or personalized proposal accepted by the Guest will govern that Service.

Where the personalized agreement contains terms that differ from these general Terms & Conditions, the specific written agreement will prevail for that booking.

7. Third-Party Service Providers

Certain components of a Service may be provided by independent third-party suppliers, such as accommodation providers, transportation companies, restaurants, guides, attractions, boat operators or other local service providers.

UltraViolet remains responsible for the Services for which it is the organizer, in accordance with applicable law.

Where a service is expressly identified as being provided by an independent third party or is outside the scope of UltraViolet’s responsibility, the applicable terms and conditions of that provider may also apply.

UltraViolet will make reasonable efforts to work with reliable service providers and to resolve any issue affecting the Guest during the Service.

8. Guest Responsibilities

The Guest is responsible for:

  • providing accurate booking and contact information;
  • arriving at the designated meeting point on time;
  • following reasonable instructions provided by the guide or service provider;
  • complying with applicable laws and regulations;
  • behaving respectfully towards guides, other Guests, service providers and members of the public;
  • informing UltraViolet in advance of any relevant mobility, dietary or other requirements that may affect the Service; and
  • bringing any documents or personal items required for the Service.

Failure to arrive on time may result in the Guest being unable to participate in the Service.

Unless otherwise stated, UltraViolet is not responsible for costs incurred by a Guest as a result of late arrival, missed meeting points or failure to follow the information provided before the Service.

9. Complaints and Problems During a Service

If the Guest experiences a problem or believes that a Service has not been provided as agreed, the Guest should notify UltraViolet or the guide as soon as reasonably possible so that UltraViolet has a reasonable opportunity to address the issue during the Service.

Complaints should be submitted in writing to:

The complaint should include the booking details and a description of the issue.

UltraViolet will review complaints and make reasonable efforts to resolve them in accordance with the applicable agreement and legislation.

For package travel arrangements, the Guest’s statutory rights under the applicable Romanian and European legislation remain unaffected.

10. Disputes and Consumer Rights

UltraViolet encourages Guests to contact us directly first so that we can attempt to resolve any complaint or dispute amicably.

If a dispute cannot be resolved directly, the Guest may have access to applicable alternative dispute resolution procedures and consumer protection authorities in accordance with Romanian and European legislation.

The Guest may contact the Romanian National Authority for Consumer Protection (ANPC) where applicable.

Nothing in these Terms & Conditions prevents a consumer from exercising any mandatory rights or remedies available under applicable consumer protection legislation.

11. Personal Data

UltraViolet processes personal data in accordance with applicable data protection legislation, including the General Data Protection Regulation (GDPR), where applicable.

Personal data provided when making a booking, submitting an inquiry or contacting UltraViolet may include information such as the Guest’s name, email address, telephone number, booking information and other information necessary to provide the requested Service.

Personal data will be processed for purposes including:

  • processing and managing bookings;
  • communicating with the Guest;
  • providing the purchased Services;
  • processing payments;
  • fulfilling legal and accounting obligations; and
  • handling customer support and complaints.

Payment card information is processed by the relevant payment service provider in accordance with its security and data protection requirements.

12. Website Information

UltraViolet makes reasonable efforts to ensure that the information published on the Website is accurate and up to date.

However, itineraries, schedules, prices, availability, opening hours, transportation arrangements and other operational details may occasionally change.

Where a change materially affects an existing booking, UltraViolet will communicate the change to the affected Guest in accordance with the applicable booking terms and applicable law.

UltraViolet reserves the right to correct typographical errors, update information and modify Website content, provided that such changes do not unlawfully affect an existing confirmed booking.

13. Changes to These Terms & Conditions

UltraViolet may update these Terms & Conditions from time to time.

The current version will be published on this page together with the date of the latest update.

Changes to these Terms & Conditions will not retroactively alter the terms applicable to a booking that has already been confirmed, except where a change is required by applicable law.

14. Applicable Law

These Terms & Conditions are governed by the laws of Romania, without prejudice to any mandatory consumer protection provisions that may apply to consumers residing in another country.

Where applicable, disputes will be subject to the jurisdiction of the competent courts determined under applicable Romanian and European legislation.
